SUMMARY/OBJECTIVE

This highly skilled, professional, and experienced full-time exempt position will assist and partner with one of our key members of the Executive Team. This role is critical to the smooth operation of the Emerging Issues + Technology practice as it involves billable project work, while assisting the President and team to manage client communications, responses and requests. They will also provide support in project management, marketing and business development activities

JOB DUTIES

  • Manage and prioritize calendar and deliverables, ensuring that urgent and priority correspondence and matters are communicated and responded to in a timely, effective, and professional manner.
  • Draft, prepare, format, and distribute proposals, engagement letters, correspondence, presentations, memos, pipeline reports, and other documents to the highest standards.
  • Oversee and coordinate various projects for the team ensuring they are tracked and completed on time and within budget; Complete time and expense reports including reporting project hours.
  • Support marketing and business development activities including market and client research, content creation including blogs posts, articles, newsletters, etc., manage social media content calendars and creating engaging multimedia content with our marketing department, event coordination, lead generation and client relationship management. Daily Salesforce data entry includes adding contacts, new opportunities and cases, uploading files, pipeline reports, etc.
  • Manage and coordinate timely processing of pre‐bills and month-end bills; follow-up to any billing and invoices inquiries from accounting or clients.
  • Book and manage all domestic/international travel arrangements, prepare travel itineraries while managing frequent changes (at times, with very little notice).

PREFERRED EDUCATION AND EXPERIENCE

  • Five or more years of experience in an administrative role reporting directly to C-Level Executives
  • Advanced proficiency in Microsoft 365 & Google Workspace; Advanced Microsoft Outlook calendaring skills and Word
  • Advanced proficiency in Windows/Mac OS
  • Proficiency in the following software is preferred:
  • Salesforce
  • Bloomberg
  • Lexis Nexis
  • Time and Expense systems
  • Exceptional organizational skills with the ability to prioritize tasks and manage time effectively.
  • Strong written and interpersonal skills with the ability to build and maintain relationships with stakeholders at all levels.
  • Provide highest level of professionalism and strict confidentiality with all materials
  • Strong problem-solving skills and the ability to make decisions independently.
  • Previous Marketing experience a plus

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. Days and hours of work are generally Monday through Friday. This position will require working outside regular business hours due to client demands and/or last-minute schedule changes, international and/or urgent and important matters.
