Summary/Objective

The Proposal Specialist reports to the Director of Marketing, Proposals and is responsible for managing the organization and creation of proposals and RFP responses from start to finish. Guidepost is seeking a talented, experienced proposal writer to create compelling responses that highlight Guidepost’s strengths and differentiators, tailoring content to meet client expectations. We expect that the content developed will be authentic, interesting, and easy to digest while adhering to corporate strategy, standards, brand positioning, and tone of voice.  You will lead multiple stakeholders through a detailed, multi-step process, to produce proposals that drive recognition, support Guidepost’s expanding brand, and win work. Beyond proposals, some assistance with additional marketing communications from PowerPoint, web content, brochures, etc. is to be expected.

Essential Functions

Candidates must have the ability to:

  • Analyze an RFP to determine suitability for Guidepost to participate and advise project team.
  • Analyze an RPF to determine requirements and understand how to tailor content to produce a dynamic response that positions Guidepost to win.
  • Professionally manage a detailed, multi-step, multi-stakeholder proposal process that requires consistent follow-up, clear/concise communication, and persistence to guide the proposal draft to completion and delivery.
  • Professionally lead, as needed, senior-level managing directors and project managers (and firm executives at times) who will lead the client-facing project, to completion and delivery.
  • Using a proposal creation software, design customized proposals that are concise, compliant, logical, and incorporate content provided by key stakeholders.
  • Leverage existing proposal material for rapid response to opportunities, as needed; conduct additional research as required to develop a compliant, compelling response.
  • Review, edit, and proofread proposals and other materials to ensure accuracy, clarity, consistency and compliance with firm guidelines and standards.
  • Support multiple projects simultaneously, prioritize assignments and complete tasks within firm deadlines and in a team environment.
  • Thrive in a fast-paced, deadline driven environment.
  • Print, assemble and ship (when required) on deadline.
  • Capture essential data for the proposal content library.
  • Work collaboratively with the greater marketing team.
  • Available to attend “special events” in a local Guidepost office as needed, preferably Washington DC or New York.

Preferred Education and Experience

  • Bachelor’s degree in English, Communications, Journalism, Business, or related field.
  • 4-6 years of related experience, preferably within a professional service firm, and including executive-level interaction (law firm experience is ideal).
  • Proven writing and proofreading skills.
  • Strong knowledge of grammar and AP style conventions.
  • Curiosity and the ability to quickly learn Guidepost services and industry sectors, write about it intelligently and clearly, and with the audience’s perspective in mind.
  • Ability to strategically position Guidepost, matching company capabilities with client requirements.
  • Ability to organize, prioritize and coordinate multiple, simultaneous, and complex projects.
  • Flexible multi-tasker who works well under pressure to meet strict deadlines.
  • Proficiency in Microsoft Word is required. Working knowledge of PowerPoint and other Microsoft Office products is preferred.
  • Working knowledge of PitchPerfect is a plus.
  • Ability to work a flexible schedule.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are generally Monday through Friday, 9 a.m. to 6 p.m.
