Position: Receptionist

Location: New York

We are seeking a receptionist to be the face of our corporate office, greet clients, visitors, employees, and field incoming phone calls with the utmost professionalism. Also performs various clerical and office administrative duties while ensuring office areas, conference rooms and kitchen are well maintained, secure, safe and presentable.

Job Duties

  • Welcomes and greets visitors with professionalism and poise, ensures all initial contact with clients, visitors, vendors, and employees via phone and face-to-face reception; are properly routed to the correct individual(s) and/or meeting location, responds to, takes messages, and follow-ups if needed
  • Receives and distributes mail and packages; including assistance with outgoing mail
  • Maintains front office security following procedures, including monitoring logbook, issuing visitor badges, securing front area when unattended or at closing hours
  • Maintains professional and presentable reception area as well as conference rooms and kitchen
  • Manages and schedules office meetings; ordering of food and beverages and clean-up
  • Maintains employee and department directories regularly and assists with any additional onboarding/off-boarding tasks as needed; works closely with Human Resources, Office Management and Information Technology
  • Provides general clerical and administrative support to other departments (accounting, marketing, human resources, IT, office administration, executive, management) and other employees, as needed, which may include updating reports, sorting, filing, copying, process incoming and outgoing mail, special projects, etc.
  • Responsible for contacting building office to repair appliances in the office as directed by office manager
  • Ensures a safe and professional front desk work environment and presentation
  • Requires punctuality when reporting to work, returning from breaks, etc.; working well with other staff members for proper phone coverage
  • Seeks help and asks questions; raises any potential and important concerns as needed

Required Experience

  • A minimum of three (3) to five (5) years of experience working in a professional office environment
  • Experience working with multi-levels of management and employee and handling multiple requests at once in a fast-paced environment; works well independently as well as in teams
  • Strong customer service practices and principles
  • Strong verbal and written skills; excellent communication and organizational skills
  • Proficient in Microsoft Office 365

Preferred Education and Experience

Experience working with technology and office equipment

Position Type/Expected Hours

This is a full-time position. Days and hours of work are generally Monday through Friday, 8:30 a.m. to 5:30 p.m. This position regularly requires long hours and weekend work.
