Billing Assistant

Summary/Objective

The primary responsibility of the Billing Assistant will be to support, coordinate, and execute all processes related to invoicing transactions in the Washington D.C. office.

Job Duties

  • Assist in coordinating the timely preparation and processing of pre‐bills
  • Set-up new cases and projects in Microsoft Dynamics Great Plains
  • Pull pre-bills and review/edit before sending out for review to project managers
  • Manage incoming and outgoing Washington D.C. subcontractor inbox, log in subcontractor invoices for entry in project accounting system and process through payables module
  • Provide prompt follow‐up to any billing and invoicing inquiries
  • Organize and maintain billing files, other documentation thoroughly and accurately, in accordance with company policy and accepted accounting practice
  • Respond promptly to any assignments/requests from project managers and team
  • Work collaboratively with the accounting team on general accounting duties and any special projects

Preferred Education and Experience

  • Minimum of two (2) years’ experience in billing or other related financial functions
  • Experience in performing under strict deadlines
  • Professional Services billing experience a strong plus (i.e., billing experience in a Law Firm, Accounting Firm, Architect Firm, Engineering Firm etc.)
  • Experience in Great Plains accounting software or related accounting software with an emphasis on the billing modules
  • Experience using billing software
  • Intermediate to advanced skills in Microsoft 365 with a strong emphasis in Excel and MS Word
  • Excellent written/verbal communication

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are generally Monday through Friday, 9 a.m. to 6 p.m.  This position may require overtime on key dates during the monthly close or other times in which the department workload is at a high level.
